Galaxen Bygg is a non-profit organization founded by the Swedish construction industry in 1986 to promote sustainable work environments in the construction sector. With 65 employees spread across 26 locations from Malmö to Luleå, their mission focuses on rehabilitation, recruitment, and occupational health and safety.
Their core work involves reintegrating disadvantaged workers back into the construction workforce. They help individuals who have experienced physical or mental health challenges find adapted employment that allows them to remain in the industry. Through rehabilitation coordination, training programs, and workplace health initiatives, they work to give workers a path back when they need it most.

We had staff spread across 26 locations, and that created challenges in collaboration and how we could help each other. We were using different systems, clicking around multiple tabs to find the information coordinators needed.
The organization needed more than a standard CRM or recruitment system. Their work with adapted employment and rehabilitation meant they had significantly more complex documentation requirements than typical staffing agencies. They needed a solution that could:

Standard software couldn't meet these specialized needs without forcing Galaxen Bygg to compromise on their rehabilitation processes or maintain workarounds across multiple disconnected systems.
Solution
Galaxen Bygg chose to build a custom workforce reintegration platform with Appfarm rather than adapt their unique rehabilitation workflows to off-the-shelf software. Working with two Appfarm developers, they built and implemented the complete solution in just seven weeks.
We decided which main environment we wanted to work in, and we wanted to invest in Appfarm. It's an impressively competent no-code system. It feels unique that there are essentially no limitations.

A central overview displaying employment coverage and key performance indicators across all 26 offices and regions. Coordinators can filter by location and timeframe to spot trends and track the metrics that matter for their rehabilitation work.
Worker and employer libraries
Complete registration systems for both job seekers and employers with all the detailed documentation required for adapted employment placements. This consolidated what had been separate systems, creating a single source of truth for coordinator teams.
KANBAN-based matchmaking funnel
The heart of the application is a visual, structured workflow for moving opportunities through the matching process. When a new position opens—such as five carpenters needed—the system displays it as a project lead that moves through stages from initial contact to successful placement.
Coordinators can review candidates, favorite those who look promising, conduct interviews, and systematically work toward contract signing. The KANBAN view gives everyone visibility into where each opportunity stands and what actions are needed next.
AI-assisted scoring and matching

The system uses OpenAI's large language models to suggest suitable matches based on worker capabilities, employer requirements, and adaptation needs.
We can make each other aware across the country about finding better matches between offices and workers and employers who are nearby, even if we might not see it from our internal structure.
Streamlined contract process
Once the right match is found, the system guides coordinators through contract generation with all the necessary terms, special arrangements, and employment percentages. Integration with Signicat enables electronic contract signing, and agreements can be tracked through to employment start.

- OpenAI for AI-powered matching suggestions and analysis

Flexible foundation
The solution is built to evolve with Galaxen Bygg's expanding services. When they were asked to add apprenticeship placement during development, the new functionality integrated seamlessly. School training visits will be added next, giving coordinators a complete overview of all their activities.
The application was developed based on user stories directly from matchmaking and project coordinators. Fredrik explains:
We worked extensively with user stories, input directly from the business. What questions do we ask during a matching, during a new lead? What do coordinators need to know? For example, does the company have a collective agreement, what type of company is it? We gathered all that information in the system, and it makes coordinators' everyday work much easier.

The flexibility of the no-code platform means Galaxen Bygg can continue evolving their services without starting over. When they added apprenticeship placement midway through development, it integrated naturally. As they add school training visit tracking and other services, the platform will adapt alongside their mission.
